Start with the property and the agreement

A tenant receives a demand to pay for repairs and struggles to reconstruct earlier exchanges. In this fictional example, the first challenge is organising the facts. AI can help arrange anonymised notes and identify missing documents. Assessing the tenant’s legal position comes after that preparation.

In Belgium, first establish where the property is located and what kind of tenancy is involved. The Brussels, Walloon and Flemish authorities publish their own guidance. An answer referring only to Belgian tenancy law without checking that context is too broad to rely on.

Turn messages into a chronology

The tenant prepares four columns: date, event, supporting document and disputed point. The tool is instructed to preserve uncertainty and never supply a missing date. A message proposing an inspection records a proposal; it does not prove the inspection happened. Each row is checked against the original record.

The practical advantage is a more focused appointment with the lawyer. If the inventory cannot be found, the gap becomes visible straight away rather than disappearing inside a lengthy account. Repeated messages can be grouped while their individual references remain available.

Prepare a readable request

Invented threats and references to legislation that nobody has opened should be removed. A short factual letter makes the information being requested easier to understand.

This also helps the lawyer separate the practical problem from the legal disagreement. Professional attention can then focus on the agreement, evidence and applicable rule, rather than repairing an overly assertive letter. A draft does not establish liability.

Keep a record of the checks

The completed file contains originals, a corrected chronology and official links with consultation dates. Private documents should not be sent to a service before its conditions have been examined. The value lies in better preparation and clearer communication, without promising a favourable outcome in the dispute.
